Stagehill Guide & Terms

Stagehill is a stage finding and tour management tool created for bands, artists, venues, promoters and live-production professionals from Greece and beyond. This page explains how the platform works, how users can use the main sections, how artist verification works, and the rules that apply when using Stagehill.

User Page

Every registered Stagehill user has a personal User Page, accessible when logged in through the User Page button at the top of the website.

The User Page works as the user’s personal profile inside Stagehill and can be used for presentation, communication, networking and activity within the platform.

Edit Profile

Through Edit Profile, users can edit their profile and add or change:

  • Profile picture
  • Cover photo
  • First name
  • Last name
  • Account type
  • Country
  • Website URL
  • YouTube video
  • Phone number
  • Social networks such as Facebook and YouTube

The user’s email address is connected to the account and is used for core communication functions. It is not publicly displayed on the profile, unless required for functions such as Apply or Contact, where the user accepts that their email may be shared with the recipient.

My Account

Through My Account, users can manage account settings and personal data. This section may include:

  • Account
  • Change Password
  • Privacy
  • Web Notifications
  • Delete Account

Account

Users can edit basic account information such as username, first name, last name and email address. They can also access their public profile through View Profile.

Change Password

Users can change their password at any time for security reasons. Each user is responsible for keeping their password secure. Stagehill is not responsible for unauthorized access caused by weak passwords, shared credentials, or compromised user devices.

Privacy

The Privacy section allows users to manage privacy settings, which may include profile visibility, search engine indexing, directory visibility, online status, activity wall visibility, and who can send private messages.

Users may also request data export/download or request erasure of personal data. Data or account deletion may be irreversible.

Web Notifications

Users can manage notifications related to comments, likes, messages, friend requests, accepted friendships, mentions, activity posts, group invitations, group approvals, event activity, account verification, artist verification and community interactions.

Delete Account

Users may request deletion of their account. Deleting an account may remove or disconnect personal data, posts, activity, artists, messages and other information linked to the account.

Stagehill may retain limited information when required for security, legal compliance, abuse prevention or platform integrity.

User Page Menu

The User Page includes the following sections:

About

The About section displays the information the user chooses to provide, helping other users understand who they are, what they do, where they are based, and how they are connected to music, events or live production.

Activity

The Activity section is the user’s personal activity feed/wall. Users may post updates, interact with others, comment and participate in the wider Stagehill community.

Messages

Messages are private conversations between users inside Stagehill. They work like direct chat conversations and remain stored inside the platform. Conversations may concern events, artists, collaborations, bookings, live shows, productions and networking.

Private messaging may be available only between users who are connected as Friends.

Friends

The Friends section allows users to manage their personal network. It includes My Friends, Friend Requests and Friend Requests Sent. Friends are used for networking, communication and community interaction.

Groups

The Groups section displays the groups a user belongs to. Groups can be used for communities, bands, crews, labels, venues, tours, backstage teams, genres and collaborations.

Each user is solely responsible for the information they publish, the content they upload, their communication with other users and their activity inside Stagehill.
Events

The Events section is the main page for discovering live events, stages, tours and collaboration opportunities on Stagehill.

Event Search

Users can search for events using:

  • Keywords
  • Venue or artist name
  • Location
  • Tags and event categories

Users can find opportunities that match their music style, location, availability or project needs.

Recent Events

The homepage displays recently published events. Each listing may include:

  • Event title
  • Organizer or venue
  • Location
  • Date posted
  • Closing date
  • Event type
  • Logo or header image, if available

Users can open an event, view details, contact the organizer or apply.

Spotlight Events

The Spotlight section promotes selected or recent events with quick access. Users can view basic details and press Apply directly without first opening the full event page.

Applying to Events

Registered users may apply to available events either by selecting one of their managed Artist profiles or as an independent user/professional.

During application, users may send a message, attach a bio/EPK/portfolio and express interest in collaborating with the event organizer.

By applying to an event, the user accepts that their contact details, including the email connected to their Stagehill account, may be shared with the event creator so both parties can communicate directly.
Artists

The Artists section is a search and networking space for bands, musicians, graphic designers, booking agents, managers, audio/lighting/video engineers, photographers, promoters and other live/touring professionals.

Artist Search

Users can search artists by:

  • Keywords
  • Professional role
  • Experience
  • Location
  • Specific event or tour needs

Artist Profiles

Each Artist profile may include:

  • Name or project name
  • Professional title
  • Location
  • Photo or logo
  • Links and social media
  • Videos
  • Bio, EPK or portfolio
  • Categories and specialties
  • Verification status, if verified

Artist Verification

Stagehill allows users to request verification for individual Artist profiles. Verification is attached to the Artist profile/resume, not automatically to the user’s general Stagehill account.

Verification is intended to show that the Stagehill Artist profile has been connected to an official channel, page, email address or proof method controlled by the person managing that Artist profile.

Verification does not certify legal identity, copyright ownership, label rights, booking authority, financial authority, management authority, trademark ownership, ownership of music rights, or permission to represent every member of a band or organization.

Where Verification Appears

Verified Artist profiles may display a public verification badge on the single Artist page, such as Verified by YouTube, Verified by Facebook, Verified by Email or Verified by Stagehill admin review.

When possible, the verification method links to the verified public source, such as the verified YouTube channel or Facebook Page. Users can report a verification if they believe an Artist profile is pretending to represent someone else, using the wrong verified source, impersonating another artist, or misleading visitors.

Verification from the Artist Dashboard

Users can request verification from the Artist Dashboard. Each Artist profile has its own verification status. A user managing more than one Artist must verify each Artist separately.

The Artist / band name used during verification is prefilled from the Stagehill Artist profile and is locked inside the verification modal. The Stagehill Artist name must match the official artist, Page, or channel name on the verification method exactly in order to verify automatically.

If the verified source name is different from the Stagehill Artist name, verification may fail and the user may be asked to change the Stagehill Artist name before trying again.

YouTube Verification

YouTube verification uses Google/YouTube OAuth. When a user chooses YouTube verification, the user is redirected to Google and asked to authorize Stagehill to check YouTube channel ownership.

YouTube verification can automatically verify an Artist only when the submitted YouTube channel is controlled by the logged-in Google account and the official YouTube channel name matches the Stagehill Artist name exactly.

If the Google account controls the YouTube channel but the YouTube channel name does not match the Stagehill Artist name, verification will not complete automatically. If the Google account does not control the submitted YouTube channel, YouTube verification fails and the Artist remains unverified.

Facebook Verification

Facebook verification uses Meta/Facebook Login and Facebook Page permissions. When a user chooses Facebook verification, the user is redirected to Facebook and may be asked to grant Stagehill access to check Pages managed by that Facebook account.

Facebook verification can automatically verify an Artist only when the logged-in Facebook account manages the submitted Facebook Page and the Facebook Page name matches the Stagehill Artist name exactly.

If Meta/Facebook does not return a clean managed Page match, the proof may be sent to admin review instead of automatic verification.

Email Verification

Email verification sends a Stagehill verification code to the email address submitted for the Artist profile.

Email verification confirms that the user can access that email inbox. It does not by itself always prove that the email belongs to the Artist, band, Page, label or organization. For this reason, email verification may require admin review.

Admin Review and Revocation

Some verification requests may be sent to Stagehill admin review when proof needs manual checking, when a verification method returns incomplete information, or when evidence cannot be fully verified automatically.

Stagehill administration may approve, reject, reopen, revoke or request additional proof for any verification.

Verification can be revoked or removed if the Artist name is changed after verification, the verified source no longer matches the Artist, the Artist profile is reported and the report is valid, the user no longer controls the verified source, or Stagehill administration determines that verification should no longer remain active.

Save Artist

The Save this Artist button allows users to save Artist profiles to their Saved list. Saved profiles can be used as a personal shortlist of possible collaborators for future events and tours. Users may also keep private notes for each saved Artist.

Contact Artist

Through the Contact button, users can contact an Artist or platform professional directly.

By sending a message, the user accepts that their contact details and Stagehill account email may be shared with the recipient to allow direct communication and collaboration.

Impersonation, fake information, spam or misleading communication are not allowed.

Dashboard

Every registered user can access their personal Dashboard, where they can manage Artists, Events, Applications, Saved listings and Alerts.

Artist Dashboard

Through the Artist Dashboard, each user can create and manage up to four different Artist/Profile entries, such as:

  • Band
  • Solo project
  • Graphic Designer
  • Lighting Technician
  • Booking Agent
  • Audio Engineer
  • Photographer
  • PR Agent
  • Tour Manager

Users can create, edit, hide or delete Artist profiles and manage each Artist’s EPK, bio, links and media.

Users can also request verification for each Artist profile. Verification status may appear as Verify, Verification pending, or Verified.

Create Artist

When creating an Artist, users may be asked to provide name, email, professional title, location, photo, video, category, about text, URLs/social links and bio/EPK/PDF files. After completing the required fields, the user submits the Artist for publication.

Stages Dashboard

Through the Stages Dashboard, users can create events that other users can apply to.

Event creation may require:

  • Event Title
  • Location
  • Event Type
  • Event Category / Date Type
  • Tags / Genres
  • Description
  • Application email or URL
  • Closing Date
  • Header Image
  • Venue / Organizer Details
  • Website
  • Video
  • Logo

Event types may include Closed Venue, Festival, Open Air, Private Place and Tour. Event date categories may include Anytime, Fixed Date and Flexible Date.

After completing the required fields, the user previews the event and then submits the listing. Once published, the event appears publicly and other users can apply.

My Applications

The My Applications section displays all applications made by the user, including the event, application date, selected Artist and application message.

Saved Listings

The Saved section displays events and artists saved by the user. Users may also keep private notes for each saved item.

Alerts

Alerts allow users to create personalized notifications for new events. Users can define alert name, keyword, location, categories, event type and email frequency.

The system sends email notifications when new events match the alert criteria. Users can view matching results, enable/disable alerts, edit alerts or delete them.

Activity

The Activity section is Stagehill’s community/social area and public activity feed.

Users can publish posts, interact with other users, comment, like, create communities, join groups, discover members, send invites and receive notifications.

Activity Feed

In the Activity feed, users can post on their wall or the public wall, upload photos, comment, like and interact with the activity of other users.

The Activity feed can be used for announcements, networking, backstage communication, collaborations, promotions and discussions around events, bands and projects.

Members

The Members section displays Stagehill community members. Users can search for members, visit profiles, view public information, send friend requests and connect with other users.

Groups

Groups allow users to create and join communities inside Stagehill. Groups can be used for bands, touring crews, labels, venues, production teams, music genres, event communities, collaborations and backstage coordination.

Create a Group

When creating a group, users may define:

  • Name
  • Description
  • Privacy type
  • Posts moderation
  • Invite permissions
  • Category
  • Tags
  • Avatar / Group image

Group Privacy Types

  • Public Group: Any site member can join. The group is visible in directories and search results. Group content and activity are visible to site members.
  • Private Group: Users must request membership and be accepted. The group appears in directories, but content is visible only to members.
  • Hidden Group: Users can join only by invitation. The group is not listed publicly and content is visible only to members.

Group Discussions

Each group has its own discussion/activity wall where members can post, comment, share updates, organize collaborations and discuss events, tours, productions and projects.

Invites

The Invites section displays invitations the user has received to join groups or communities. Users can accept, reject or ignore invitations.

Notifications

The Notifications section gathers all platform notifications, including messages, comments, likes, friend requests, accepted friendships, group invites, mentions, group activity, event interactions, applications, replies, account verification and artist verification updates.

Notifications may appear as popup/web notifications and can also be found inside the Notifications section.

Community Guidelines

Harassment, hate speech, threatening content, spam, impersonation, fake accounts, scams, malicious behavior, misleading posts, illegal content and abuse toward other users are not allowed.

Stagehill may remove posts, delete comments, restrict features, remove groups, suspend or ban accounts without warning if users violate the platform rules.
Terms of Use

General Terms

Stagehill is a platform for networking, finding collaborations, organizing events and managing live activities. By using the platform, users accept these Terms of Use.

Users must use Stagehill lawfully, respectfully and honestly. Users must not use Stagehill for impersonation, fraud, scams, harassment, spam, malware, illegal content, copyright infringement, misleading listings, abusive behavior or unauthorized data collection.

Artist Profiles

Each Artist profile must correspond to a real artist, band, music project, live-production professional or creative professional related to events and music.

Fake profiles, spam profiles, duplicate artists and impersonation of artists, users or companies are not allowed.

Users must not claim to represent an artist, band, venue, company, Page, channel or organization unless they have authority to do so.

Artist Verification Terms

Stagehill Artist verification is a platform feature intended to help show that an Artist profile is connected to an official channel, page, email address or proof method.

Verification may use methods such as YouTube, Facebook, Email, admin review, or other methods added later.

Verification is not a legal identity check. Verification does not certify copyright ownership, trademark ownership, band membership, label rights, management rights, booking authority, financial authority, payment authority, contractual authority or legal permission to act for another person or organization.

Users must not use verification to impersonate another artist, mislead visitors, claim false authority, or create confusion with another band, artist, company or project.

The Stagehill Artist name must match the official verified source name exactly for automatic YouTube and Facebook verification.

If an Artist profile is verified and the Artist name is later changed, the verification may be automatically revoked. The Artist may need to verify again.

Stagehill may revoke, reject, remove or require re-verification at any time if verification information becomes inaccurate, misleading, disputed, reported, outdated, or unsafe.

Users may report suspicious verification, fake representation or impersonation through the Report verification option where available.

Events

Each Event must correspond to a real live show, festival, tour, booking request, open call, stage opportunity or music/artistic event.

Fake events, spam listings, misleading posts, duplicate events and events without genuine collaboration intent are not allowed.

User Content

Users are solely responsible for all text, media, files, links, EPKs, videos and images uploaded to the platform.

Content that violates copyright, fake promotional material, racist or offensive content, hate speech, illegal content, malware, pornographic content and misleading downloads are not allowed.

EPK / Bio Uploads

Files uploaded as Bio, EPK, Press Kit, PDF or Media Kit must be directly related to the Artist or Event. Stagehill may not be used as a general file-hosting service.

Applications

Users should apply only to Events that genuinely match their Artist profile, project, availability or professional services. Spam applications or mass irrelevant applications may result in account restrictions.

Saved & Notes

Private notes in Saved listings are visible only to the user who created them.

Alerts & Emails

By creating Alerts, users accept receiving automated emails about new Events matching their criteria. Users may disable, delete or edit Alerts and email frequency at any time.

Accounts

Multiple accounts for spam, bots, automated activity and scraping are not allowed. Stagehill may restrict, suspend or delete accounts that violate the Terms of Use.

User Communication & Data Sharing

When a user applies to an Event or uses the Contact button to communicate with an Artist or user, the user accepts that their basic contact information, including the email connected to their Stagehill account, may be shared with the recipient.

This sharing happens only with the creator of the Event or the owner of the Artist profile contacted, so both parties can communicate directly.

Authenticity of Accounts & Emails

The email connected to each Stagehill account is used automatically in Apply and Contact forms. Fake emails, impersonation and misleading applications or messages are not allowed.

Users must not submit email addresses, social accounts, YouTube channels, Facebook Pages, Bandcamp pages, Spotify pages, websites or other sources that they do not own, control, manage or have permission to use for verification.

User Responsibility & Limitation of Liability

Stagehill provides only the technical means for publishing Artist profiles, Events, Applications, messages and collaborations between users.

Stagehill does not participate in agreements, financial transactions, collaborations, bookings or professional/personal relationships that may result from platform use.

Stagehill is not responsible for:

  • False information
  • Misleading profiles
  • Impersonation
  • Fake accounts
  • Spam
  • Malicious behavior
  • Misleading events or listings
  • Copyright infringement
  • Any improper use of the platform by users
  • Any incorrect or misleading verification claim made by a user
  • Any dispute about who has authority to represent an Artist, Page, channel, band or organization

Collaborations & Transactions

Any collaboration, agreement, booking or professional relationship between users happens solely at the users’ own responsibility.

Stagehill does not guarantee the reliability, real identity, quality of services, or outcome of any cooperation between users.

Files, Uploads & External Content

Users are solely responsible for files, PDFs, EPKs, videos, images, links and any other content they upload or share through the platform.

Illegal content, pirated material, malicious files, malware, copyright-infringing material and offensive, racist or threatening content are prohibited.

Third-Party Services

Stagehill may use third-party services, including hosting providers, WordPress plugins, Ultimate Member, Google/YouTube, Meta/Facebook, email delivery services, embedded media providers, map/location services and analytics or security tools.

Third-party services may have their own terms and privacy policies. Stagehill is not responsible for the operation, availability or policies of third-party services.

Administration Rights

Stagehill administration reserves the right to edit, hide, restrict or delete accounts, events, Artist profiles and content without warning in cases of rule violations, abusive behavior, spam, impersonation or unsafe platform use.

Stagehill administration may approve, reject, revoke, reopen or require additional verification evidence for Artist profiles at any time.

Service Availability

Stagehill makes efforts to keep the platform functional and secure, but does not guarantee uninterrupted operation, absence of technical issues or full availability at all times.

Stagehill is not responsible for temporary downtime, data loss, technical errors, or problems caused by third-party services, hosting providers or plugins.

Changes to Terms

Stagehill administration reserves the right to modify these Terms of Use at any time without prior notice. Continued use of Stagehill after changes means the user accepts the updated Terms.

Privacy Policy

General Privacy Policy

Stagehill is a stage finding, tour management and networking platform created for bands, artists, venues, promoters, event organizers and live-production professionals from Greece and beyond.

Stagehill collects, processes and distributes user-generated content and information through its platform. However, Stagehill does not guarantee the accuracy, completeness, authenticity or availability of any listings, profiles, events, artist pages, messages, groups or other content published by users.

Each user and visitor uses the platform and its services at their own responsibility and initiative.

Data Controller and Contact

For privacy, data export, deletion or account-related requests, users may contact Stagehill through the website contact page or through account privacy tools where available.

If a separate Privacy Policy page is created, it should use the same privacy information and remain publicly accessible from the Stagehill homepage and footer.

Platform Responsibility

Stagehill is not responsible for agreements, collaborations, bookings, misunderstandings, impersonations, fake accounts, scams or disputes between users.

Users communicate and collaborate entirely at their own risk.

By using features such as Apply to Event, Contact Artist, Private Messages, Friends & Networking, and Groups & Invitations, the user understands and accepts that their contact information, including email address and profile information, may be shared with other users through the platform communication systems.

Content & Uploaded Material

Users are fully responsible for all uploaded content including images, artwork, music, videos, event information and profile descriptions.

By uploading content, users confirm that they own the rights or have permission to use such material.

Stagehill reserves the right to remove, edit or moderate any content that violates platform rules or applicable laws.

Messages, Networking & Groups

Stagehill includes social networking features such as Activity Wall, Private Messaging, Friend Requests, User Groups, Invitations and Notifications.

Users are fully responsible for all communication and interactions conducted through these systems.

Personal Data Collected

Stagehill may collect and process personal information such as:

  • Name
  • Username
  • Email address
  • Password credentials in protected/hashed form
  • Profile information
  • Country or location information submitted by the user
  • Website and social links
  • Uploaded images, logos, cover photos and files
  • Artist profiles and event listings
  • Applications and contact messages
  • Private messages and activity data
  • Saved listings and private notes
  • Alerts and notification preferences
  • Verification requests and verification evidence
  • Reports about verification, abuse, impersonation or unsafe content
  • Technical information such as IP address, device/browser details, cookies, login sessions and security logs

Personal information is used for account functionality, communication, notifications, moderation, security, abuse prevention, verification, platform improvement and legal/platform integrity.

Stagehill does not sell personal data to third parties.

How Stagehill Uses Personal Data

Stagehill may use personal data to create and manage accounts, display public profiles and listings, allow users to apply to Events or contact Artists, send emails and notifications, operate messages/groups/friends, store preferences, verify Artist profiles, review reports, prevent abuse and maintain website functionality.

Public Information

Some user-submitted information may be publicly visible, including public User Page information, Artist profile information, Event listing information, activity posts and comments, uploaded public images/logos, public website and social links, and verification badges or proof links.

Users should not publish information they do not want to be visible to others.

Artist Verification Data

Stagehill may collect and store information related to Artist verification, including Artist profile ID, Artist name, verification method, verification status, submitted YouTube channel URL, submitted Facebook Page URL, submitted email address and email source page, verification timestamps, proof links displayed publicly, OAuth confirmation result, channel/Page name used for matching, admin review notes or evidence summary, and verification reports submitted by users.

YouTube/Google Verification Data

When a user chooses YouTube verification, Stagehill uses Google/YouTube OAuth to check whether the logged-in Google account controls the submitted YouTube channel.

Stagehill may access limited YouTube channel information necessary for verification, such as owned channel ID, channel title/name, channel handle or URL, public channel link and the OAuth token result needed to complete the verification check.

Stagehill uses this data only to verify whether the Stagehill Artist profile matches and is controlled through the submitted YouTube channel.

Stagehill does not use Google/YouTube OAuth to upload, edit or delete videos, manage comments, read private unrelated data, or act on the user’s YouTube account except for the verification check.

Stagehill may store the verified YouTube channel link and verification method so that visitors can see “Verified by YouTube” on the Artist profile.

Meta/Facebook Verification Data

When a user chooses Facebook verification, Stagehill uses Meta/Facebook Login and Facebook Page permissions to check whether the logged-in Facebook account manages the submitted Facebook Page.

Stagehill may access limited Facebook Page information necessary for verification, such as managed Page ID, Page name, Page username or public Page URL, permissions granted or declined, verification result and proof link.

Stagehill uses this data only to verify whether the Stagehill Artist profile matches and is managed through the submitted Facebook Page.

Stagehill does not use Facebook permissions to post to Pages, edit Pages, delete content, manage comments, send Page messages, run ads, or act on behalf of the Page except for checking whether the user manages the submitted Page for verification.

Stagehill may store the verified Facebook Page link and verification method so that visitors can see “Verified by Facebook” on the Artist profile.

Email Verification Data

When a user chooses email verification, Stagehill may send a verification code to the submitted email address and store the confirmation result. Stagehill may also store the official page where the email is claimed to be displayed, if provided.

Email verification may be reviewed by Stagehill administration before approval.

Verification Reports

Visitors or users may report a verification if they believe an Artist profile is fake, misleading, impersonating another artist, or verified through the wrong source.

Stagehill may store report reason, reporter information if available, date/time, IP address and related Artist verification details. Reports are used for moderation, safety and platform integrity.

Data Sharing

Stagehill may share limited user data only where necessary for platform functionality, including:

  • With Event creators when a user applies to an Event
  • With Artist profile owners when a user uses Contact Artist
  • With email/notification systems used to deliver messages and alerts
  • With Google/YouTube when a user chooses YouTube verification
  • With Meta/Facebook when a user chooses Facebook verification
  • With hosting, security, anti-spam, plugin or technical service providers
  • With administrators/moderators when reviewing reports, abuse, verification or support issues
  • When required by law or necessary for safety, security or platform integrity

Stagehill does not sell personal data.

Data Storage and Retention

Stagehill stores personal data for as long as needed to operate the account, provide platform features, maintain security, handle verification, prevent abuse, comply with legal obligations or support platform integrity.

If a user deletes their account or requests erasure, Stagehill may delete or anonymize personal data where possible. Some information may be retained where needed for security logs, legal compliance, abuse prevention, dispute records, backup restoration, verification history or platform integrity.

OAuth tokens and temporary verification data should be kept only as long as needed to complete verification unless required for security, audit, abuse prevention or platform integrity.

Data Deletion Requests

Users may request deletion of their account or personal data through account privacy tools where available or by contacting Stagehill through the website contact page.

Users may also remove Stagehill access from their Google or Facebook account settings.

After a deletion request, Stagehill may delete, anonymize or disconnect personal data where possible. Some limited data may be retained if needed for legal compliance, fraud prevention, abuse prevention, dispute handling, security logs, backups or platform integrity.

Users who used Facebook Login or Meta/Facebook verification may request deletion of related Meta/Facebook platform data by contacting Stagehill through the website contact page or using the available account deletion/privacy tools. Stagehill will process such requests according to available technical and legal requirements.

User Rights

Depending on applicable law, users may have rights to access, correct, download, restrict, object to or request deletion of their personal data.

Users may manage some data directly through My Account, Privacy, Edit Profile and Delete Account. For additional requests, users may contact Stagehill through the website contact page.

Security

Stagehill uses reasonable technical and administrative measures to protect the platform and user data. However, no website, server, plugin, third-party service or online communication system can be guaranteed to be completely secure.

Users are responsible for keeping their login details secure and for protecting their own devices, browsers and email accounts.

Cookies

This website (stagehill.gr), like most websites on the internet, uses cookie technology and related local storage features to ensure its correct, secure, and seamless operation.
